Removal of IT equipment

Note: This page is meant to advise NRCan employees on working during COVID-19. Please consult Health Canada’s COVID-19 pages for up-to-date information on the situation.

Despite the challenging situation we find ourselves in, NRCan employees continue to work and fulfil the department’s mandate. CIOSB understands that having proper IT equipment is a crucial part of keeping NRCan employees productive.

To accommodate the need for employees to access IT equipment, while, at the same time, ensuring the safety of all employees, the following measures will be used during the COVID-19 pandemic:

If you wish to sign out IT equipment or if you have already removed IT equipment (monitors, laptops, printers, keyboards, and mice) from your workstation, you must create a service ticket in the Service Desk Portal.

  1. Once in the Service Desk Portal, select Open a Ticket from the left menu
  2. Affected user should be yourself
  3. Select IT Services from the dropdown
  4. Select Equipment Loan Form
  5. Select the equipment to be loaned or select Other
    1. Complete the requested information (estimated dates of loan period, etc.)
    2. In the freeform text area, please capture the details of the equipment (type of equipment, model number, Asset tag # if it has one, etc.)
  6. Click Finish to complete the request
  7. Once you have submitted, click on My Open Events from the left menu
    1. You should see your recently completed request in the list
    2. Select this request and print the details
    3. You will require this printout as proof that the service ticket was submitted

You may need to present this printout to the Commissionaire when exiting the building (except in buildings where no Commissionaire is present).

Removal of computer

Before disconnecting from the NRCan network, please perform the following steps:

  • Log on to your computer and ensure Cisco Anyconnect is already installed; if it is not, the User needs to install it using Ivanti Management/Portal Manager (located in the Start menu)
  • Verify that MyKey is on the desktop or other local location
  • Copy any files requiring local access, but remove any protected B items
  • Update MacAfee: Right click on Red Shield outline Icon in system tray and choose ‘Update Security’
  • Complete Windows Updates: Start menu, Setting, Update & Security, Check for Updates, wait to download and install
  • Reboot the computer to ensure all updates and installations are complete.

*Due to limited service desk personnel in the office, IT Support is not able to help with the disconnection and removal of the equipment.

Employees should not show up in person at Service Desk locations — they can only be assisted on-site through a scheduled appointment.   

In buildings with Commissionaires, employees are to report to the Commissionaires upon entering the building. To reduce shared contact, guards will verbally sign in the employee by asking them for their information and recording it electronically.

To ensure the safety of essential employees working on site, employees must not access any NRCan building if they:

  • Have been out of Canada in the last 14 days;
  • Have been directed by health authorities to self-isolate in the past 14 days;
  • Have been exposed to anyone confirmed to have COVID-19; or
  • Have flu-like symptoms

Buildings with Commissionaires will ask employees entering the buildings if they meet any of the above criteria.

Employees are to go directly to their workspace, gather their IT equipment, and then immediately leave the building. 

To further ensure the safety of on-site employees, contractors and Commissionaires, please ensure you practise appropriate social distancing and follow any on-site building instructions or other precautionary measures; for example, maintaining a separation of no less than two metres or (six feet). 

Employees are to check out with the Commissionaires before leaving the premises. Employees should be ready to show the printed Equipment Loan Form for the equipment they are removing.
